Data Deletion Policy

1. Your Right to Erasure

Under Article 17 of the EU General Data Protection Regulation (GDPR), the UK Data Protection Act 2018, and applicable data protection legislation, you have the right to obtain the erasure of your personal data without undue delay. This right applies when the data is no longer necessary for the purpose for which it was collected, when you withdraw consent, or when you object to processing and there are no overriding legitimate grounds.

We honour deletion requests from all users, regardless of jurisdiction.

2. Scope of Deletion

Upon receipt of a valid deletion request, the following data is permanently and irreversibly removed from all our systems:

Account dataYour name, email address, authentication tokens, user preferences, and all account metadata.
Message dataAll messages retrieved from connected accounts (Gmail, Outlook, WhatsApp), including sender information, subject lines, message bodies, AI classifications, and thread identifiers.
Draft repliesAll AI-generated draft replies associated with your account.
OAuth credentialsAll stored access tokens and refresh tokens for connected services (Google, Microsoft, Meta).
WhatsApp dataAll WhatsApp session data, group preferences, webhook-received messages, chatbot conversation history, and Business API configuration.
Notification dataPhone number, verification status, notification preferences, digest configuration, and notification delivery logs.
Sender cacheAll cached sender classifications and sender override rules.
Scan historyAll records of scans performed, including timestamps, status, and diagnostic metadata.
Irreversibility. Deletion is permanent. Once processing is complete, your data cannot be recovered. We strongly recommend disconnecting your accounts and exporting any data you wish to retain before submitting a deletion request.

3. Deletion Process

We have implemented a structured deletion procedure to ensure completeness, auditability, and compliance:

Submit your request

Send an email to rob@lincolne-ventures.com with the subject line "Data Deletion Request". Include the email address associated with your get_sifted account so we can locate your records. No other information is required.

Identity verification

We will verify your identity by sending a confirmation to the email address on file for your account. This safeguard prevents unauthorised third parties from requesting deletion of your data. No additional documentation is required.

Processing

Upon confirmation, all personal data described in Section 2 is purged from our primary database, all backup systems, and all sub-processor systems where technically feasible. OAuth tokens are revoked at the source provider where the API permits.

Confirmation

You will receive written confirmation that deletion has been completed, including a summary of the data categories removed. This confirmation is sent to the email address from which the request was made.

4. Timeline

We will acknowledge your request within 48 hours and complete deletion within 30 calendar days of receiving identity verification, in accordance with Article 12(3) GDPR. In exceptional circumstances requiring an extension, we will notify you of the delay and the reasons within the initial 30-day period, as permitted under Article 12(3).

5. Third-Party Data

Upon deletion, we instruct our sub-processors to erase your personal data. Anthropic does not retain message data after processing. Supabase data is deleted directly as part of our database operations. Data held by Google, Microsoft, and Meta in connection with your own accounts is governed by those providers' respective privacy policies and is outside the scope of this deletion.

6. Exceptions

In limited circumstances, we may retain specific data where required by applicable law, regulation, or valid legal process. Where such retention is necessary, we will inform you of the specific legal basis, the categories of data retained, and the expected retention period. Retained data will be restricted from further processing and securely deleted as soon as the legal obligation expires.

7. Account Disconnection (Partial Deletion)

If you wish to remove data from a single connected account without deleting your entire get_sifted account, you may disconnect that account from the Settings page at any time. Disconnection immediately revokes our access, stops further data collection from that source, and deletes all stored messages and credentials associated with that connection. Your account and data from other connected sources remain intact.

8. Meta Platform Data

In compliance with Meta Platform Terms, when you disconnect the WhatsApp Business integration or delete your account, all data received from Meta's platform (including webhook-delivered messages, contact information, and conversation metadata) is deleted in accordance with this policy. Users may also initiate deletion through their Meta account settings.

If you are not satisfied with our response, you have the right to lodge a complaint with a supervisory authority. EU residents may contact their local data protection authority. UK residents may contact the Information Commissioner's Office at ico.org.uk. Saudi Arabia residents may contact the Saudi Data and Artificial Intelligence Authority (SDAIA).
